The file inventory and translation scope
We establish the number of files, formats, languages and sections included in the assignment. A large collection benefits from an inventory with filenames, page numbers or other stable identifiers.
An inventory should identify the file format, language, volume number and case-file sheet range. Mark duplicates, attachments and reference materials that do not need translation. Do not remove repeated documents yourself where their presence or order matters to the case; agree how they will be handled.
Case-file sheet numbers, identifiers and references
IT reports, correspondence and tables may contain identifiers, dates and timestamps. We agree how to preserve those references and mark passages that are illegible, missing or require clarification.
OCR text makes searching easier but should remain linked to the document image. Names, dates, amounts and Cyrillic characters can be misread. The translation requires source material against which these details can be checked, rather than automatically extracted text alone.
Output format and delivery stages
Translating a report or data export is not, in itself, an IT expert opinion or verification of the material’s authenticity. The translation scope, output format and data transfer method are agreed before work begins.
