TRANSLATION OFFICE

Terms of service and website use

Updated 19 October 2026. This website provides information and helps you prepare an enquiry. The scope, price, deadline and delivery of each assignment must be agreed separately.

1. The office and its services

The service provider is Vadym Rekel, trading as VADYM REKEL, Polish tax number (NIP) 6793053128, REGON 121398530, a sworn translator of Ukrainian registered on the Polish Minister of Justice’s list under TP/27/17. Address: ul. Kielecka 2/53, 31-526 Kraków, Poland. Email: . Please arrange an appointment before visiting.

+48 883 040 483 — for courts, prosecutors and police only. +48 735 753 383 — for individual clients, courts, prosecutors and police.

The authority to certify translations covers Ukrainian. Descriptions of Russian or English services do not represent sworn translator qualifications in those languages. The available service is confirmed before an assignment is accepted.

2. Enquiries and forming a contract

Website information and calculator results are informational. Sending an enquiry, selecting an OCR file, preparing an email or discussing availability does not automatically constitute acceptance of a paid assignment.

Before work starts, the parties agree the documents, language direction, type of translation, price or pricing basis, deadline, number of copies, delivery format and payment terms. The order confirmation sets out how the contract is concluded. If a contract is actually concluded at a distance or off premises, the relevant consumer rules apply; describing a contact method does not exclude those rights.

3. Documents, originals and personal details

The client provides complete, legible material and explains the recipient’s requirements. A certified translation identifies its source in accordance with Article 18 of the Polish Sworn Translators Act. Sending a scan electronically does not make it an original. Arrangements for inspecting an original and the certification format are agreed before the work.

Names written in other scripts are rendered under Article 14(2) of the Act, using a travel document or a copy, or, if unavailable, the spelling rules of the country where the source document was issued. Translation does not replace correction by the competent authority and does not establish a document’s authenticity.

4. Quotes, payment and changes to scope

Fees for private assignments are agreed by contract. The statutory tariff concerns work requested by authorised authorities and is not automatically a price list for all services. Before entering a contract, a consumer receives the total price including applicable taxes, or the method of calculating it, together with any additional agreed costs.

Payment conditions and timing, including any advance payment, are specified when the assignment is accepted. Additional material, extra copies or a changed deadline require agreement on their effect on the price and schedule. They do not automatically authorise an extra charge. Interpreting arrangements and any travel are agreed separately.

5. Calculator, OCR and email preparation

The calculator provides an initial estimate. OCR can misread handwriting, tables, stamps and poor-quality scans. Source-text length does not establish the final translation length or the price accepted by the office.

Files selected for OCR are processed locally in your browser. Selecting a file does not send it to the office. The contact form prepares a message in your email application; the content is transmitted by email only when you send it yourself. Check the recipient, message and attachments before sending.

6. Complaints

You may submit a complaint by email to or to the office address. Identify the assignment, describe the issue and requested resolution, provide contact details and attach any material needed to assess it. No special form is required.

A consumer complaint is answered within 14 days of receipt, unless a specific legal rule provides otherwise, on paper or another durable medium. Where Article 7a of the Polish Consumer Rights Act applies, failure to answer within the deadline means that the complaint is accepted. These terms do not exclude statutory liability or rights relating to defects in the service.

7. Withdrawal from a distance contract

If a service contract is concluded at a distance or off premises, a consumer generally has 14 days from conclusion to withdraw without giving a reason; the period is 30 days in specific statutory cases. Notice may be sent by email or post. The model form in Annex 2 to the Consumer Rights Act is available but is not mandatory.

Starting a paid service before the withdrawal period ends requires an express request and compliance with the statutory information duties. If the consumer validly withdraws after such a start, only the legally payable, proportionate part of the service actually performed is charged, in accordance with Articles 35–36 of the Act.

The right to withdraw is lost after full performance of a paid service only if the statutory conditions are met: express prior consent, advance information about the loss of the right and acknowledgement of that information. An urgent deadline, the individual nature of a translation or sending a document does not automatically remove the right. Refunds due are made in accordance with the Act, generally within 14 days of receiving the withdrawal notice.

8. Website use, maps and reviews

Interactive features require an up-to-date browser with JavaScript; large files may exceed your device’s memory. Do not submit unlawful content, infringe other people’s rights or disrupt the website. Website and calculator use is free; you arrange your own internet access.

The embedded Google map loads automatically when the page is displayed. Google Maps and Apple Maps links open directions in an external service or application, where the provider calculates the route, distance and travel time. Results are approximate; allow for parking, security checks and movement inside the building as well. Before visiting an institution, check the particular department’s address or the details on your summons.

The website presents labelled summaries of selected genuine Google reviews. They are not verbatim quotations or a complete record of all ratings. They do not guarantee the outcome of a future assignment. The review link opens Google; this website does not collect reviews through its own form.

9. Client rights and changes to these terms

The parties may first try to resolve a dispute directly. Consumers may seek help from a municipal or district consumer adviser and appropriate out-of-court dispute resolution services. This does not restrict access to a court.

Mandatory law, including applicable consumer protection, takes precedence over these terms. Changes to the website or these terms do not unilaterally alter contracts already concluded. Data protection is explained in the separate privacy policy.

FAQ

Frequently asked questions

Does an OCR result mean my assignment has been accepted?

No. It is an estimate and the file remains in your browser. An assignment requires separate agreement and acceptance.

Does every urgent translation exclude withdrawal?

No. For a consumer distance contract, the specific statutory conditions for starting and fully performing the service matter.
